I.D. Me Promotions

Privacy Policy

Effective Date: November 1, 2026 · Last Updated: November 1, 2026

1. Scope

I.D. Me Promotions, LLC (“I.D. Me,” “we,” “us,” or “our”) respects the privacy of customers, prospective customers, Website visitors, company-store users, merchandise recipients, and other individuals whose personal information we process. This Policy applies to www.idmepromotions.com; accounts, favorites, comparisons, saved projects and quote carts; quote, sample and project requests; client-specific, Ecwid, Shopify, custom and pop-up stores that link to this Policy; customer service; marketing; production, fulfillment and delivery; and other services linking to this Policy.

2. Quote-Request Website

The primary Website is a quote-request platform. A quote submission does not complete a purchase, reserve inventory, guarantee price or availability, or authorize production. I.D. Me personnel review artwork, decoration, quantity, inventory, timing, shipping, and other project requirements. The primary Website does not directly process payment cards. Certain separate company stores may permit direct purchases.

3. Information We Collect

Contact and professional information

Name, company or institution, title, department, addresses, email, telephone, and organizational affiliation.

Account information

Login identifier, protected authentication information, preferences, favorites, comparisons, saved projects, quote history and order history.

Quote, order and project information

Products, quantities, color and size, decoration, artwork, proofs, approvals, budget, in-hands date, billing and shipping details, purchase-order information, tracking, returns, credits and customer-service records.

Artwork and personalization

Logos, trademarks, artwork, brand standards, recipient names, apparel sizes, gift selections, shipping lists, and personalization instructions.

Payment information

Invoice and billing details, payment status, date, amount, transaction reference and limited processor-returned information. I.D. Me does not store complete card numbers or card security codes in NetSuite.

Communications

Emails, calls, forms, quote requests, Zendesk questions, feedback and complaints. Zendesk is currently used to route visitor questions to I.D. Me personnel; no AI, outside answering service or file upload is currently used through that feature.

Website and device information

IP address, browser, device, operating system, referring source, pages viewed, searches, quote-cart activity, click and scroll activity, session timing, approximate IP-based location, cookies and advertising identifiers.

Third-party sources

Customers, suppliers, decorators, manufacturers, fulfillment providers, carriers, processors, ZoomInfo, event organizers, referrals, public sources and business partners.

Secure upload. Customers should use I.D. Me’s secure upload method for artwork, recipient lists and personalization files whenever available and should not provide unnecessary sensitive information.

4. How We Use Information

We use information to respond to inquiries; provide samples and recommendations; prepare and revise quotes; review artwork and proofs; create and fulfill orders; coordinate suppliers, decoration, kitting, drop shipping and delivery; operate accounts and company stores; invoice and reconcile payments; send operational communications; conduct lawful email marketing and business development; analyze and improve the Website; maintain security; prevent fraud; comply with licensing, accounting, tax, contractual and legal obligations; and establish or defend claims.

5. Cookies, Analytics and Advertising

The Website may use strictly necessary, functional, analytics, behavioral and advertising technologies. Necessary technologies support security, sessions, authentication, quote carts and privacy choices. Google Analytics may measure traffic and use. PostHog may provide product analytics, heatmaps, session recordings, click and scroll information and usability insights. Session recordings run only after you choose Accept in the Website’s cookie notice. Choosing Decline, or a Global Privacy Control signal from your browser, turns off analytics and session recordings on the Website; Cookie settings at the bottom of every page changes your choice. With consent where required, Google Ads may provide Website visitor retargeting. I.D. Me does not upload customer, NetSuite, Campaign Monitor or ZoomInfo contact lists to Google for Customer Match.

6. How We Disclose Information

We may disclose information to Website, cloud, NetSuite, Microsoft 365, IT, security and backup providers; suppliers, manufacturers, decorators, printers, fulfillment providers and carriers; Fortis, PayPal, Stripe and other payment providers; Campaign Monitor, Google Analytics, Google Ads, PostHog, Flipsnack, Zendesk and consent providers; sponsoring organizations administering their stores or programs; professional advisers; governmental authorities; parties to a business transaction; and other recipients at the customer’s direction or with appropriate permission.

7. Sale, Sharing and Targeted Advertising

I.D. Me does not sell personal information for money and does not derive 50 percent or more of annual revenue from selling or sharing personal information. Some state laws may characterize Website visitor retargeting as targeted advertising, sharing or sale even without monetary payment. Applicable choices will be provided before retargeting is activated. I.D. Me does not upload customer or prospect lists for contact-list advertising.

8. Marketing Choices

Campaign Monitor is used for email marketing and may receive name, email, company and department. I.D. Me does not use Campaign Monitor for marketing text messages. Marketing emails include an unsubscribe method. Unsubscribing does not stop quote, account, order, invoice, shipping, service or security communications. Business contacts may ask I.D. Me to stop prospecting outreach.

9. Payments

After quote approval, I.D. Me may send a NetSuite invoice with a Fortis payment link. Fortis returns limited transaction information for reconciliation. I.D. Me employees do not ordinarily see complete card numbers. Separate stores may use PayPal or Stripe under their own policies.

10. Data Retention

I.D. Me retains information for as long as reasonably necessary based on the purpose, customer relationship, reorder needs, accounting and tax obligations, licensing and contracts, proof approvals, disputes, fraud prevention, security, legal claims and law. Information is retained only as long as reasonably necessary for the described business, legal, accounting, contractual, security and recordkeeping purposes.

11. Security

I.D. Me uses reasonable administrative, technical and physical safeguards designed to protect personal information. Safeguards may include multifactor authentication, access controls, email security, endpoint protection, encryption in transit, monitoring, backups, vendor controls and employee procedures. No system can be guaranteed completely secure.

12. Children

The Services are intended for business and general audiences and are not directed to children under 13. I.D. Me does not knowingly collect personal information online directly from children under 13. I.D. Me does not currently operate K-12, youth-sports or youth-organization stores.

13. California Privacy Disclosures

California residents may request access to, correction of or deletion of personal information. I.D. Me will evaluate requests under applicable law and may retain information needed for transactions, records, reorders, security, claims, contracts, law, rights and safety. The Website does not presently respond to traditional Do Not Track signals. Certain CCPA rights apply only to businesses that meet the law’s applicability requirements. If and to the extent the CCPA applies to I.D. Me, I.D. Me will provide the rights and process requests as required. The Website does not currently use advertising or retargeting technologies. Before any such technology is activated, I.D. Me will recognize Global Privacy Control signals as a request to opt out of targeted advertising, sharing or sale where applicable law requires.

14. Third-Party Stores and International Shipping

Ecwid, Shopify, Flipsnack, Zendesk, payment portals and other independent platforms may have their own privacy practices. At a U.S. customer’s request, I.D. Me may occasionally ship internationally and disclose necessary recipient and shipment information to suppliers, carriers, customs brokers and authorities in the destination country.

15. Contact and Requests

Privacy questions and requests may be submitted through the I.D. Me Contact Us page at www.idmepromotions.com/contact. Please select “Privacy Request” in the subject field or submit in writing to I.D. Me Promotions, LLC, 18401 Burbank Blvd., Suite 116, Tarzana, CA 91356. Toll-free: 888-788-0101. Local: 818-774-9500.

16. Changes

I.D. Me may update this Policy for changes in services, technology, vendors, data practices, advertising, law or business needs. The Last Updated date will be revised, and additional notice may be provided for material changes.
